How our election management process works
Simply Voting provides a dedicated project manager to oversee and manage your entire voting event successfully. Following an initial interview, the project manager outlines a project plan detailing requirements, tasks, and deadlines. As per your specifications, the voting system will be set up, which includes branding, ballot creation, and preparation of the list of electors. Depending on your requirements, we may generate random passwords for each elector and schedule mass-emails containing personalized voting instructions and reminders to vote. Or, we will integrate with your organization’s existing authentication method.
If a postal mailing is required, Simply Voting will print a letter containing the voter’s address, your logo, and personalized voting instructions and credentials for online voting. The letter is folded and inserted inside a high-security window envelope, then sent via USPS as First Class Mail or via Canada Post as Lettermail. Your personnel will never have access to voter passwords and the integrity of your election is safeguarded.
Your project manager will always provide previews of the online ballot and any communication materials for your feedback and approval.
During the election, Simply Voting staff will actively monitor the election to ensure that everything is working as intended. The project manager will handle day-to-day election administration and report on mid-election turnout. Following the election, the project manager will deliver the voting results, an audit trail, as well as any other reports required.

Frequently Asked Questions
Do you provide auditing services?
We do not provide auditing services but we do provide you with the necessary tools to conduct an audit either self service or by hiring an independent third party. You can create multiple administrative users with restricted or full access so that they may, for example, read or download various reports directly from the system for verification purposes. These reports may include the list of eligible voters, an anonymized list of every ballot cast, turnout reports, account logs, or the summary results. Users may be given access at any time depending on your preference so that they may monitor the election during or after the voting period.
I need my election up and running as soon as possible. Can you help me?
Our turnaround times may vary based on current project volumes but as a general rule of thumb, a basic online-only setup require a minimum of one full business week between receipt of final setup materials in good working order and the start of the online voting period. We are often able to accommodate shorter turnaround times so please get in touch to inquire about availability and pricing. Votes with complex set-ups or with a postal mailing component will need to have their timelines assessed on a case-by-case basis.
Can my voters contact Simply Voting for help?
No, you should remain the point of contact for your voters at all times. If you encounter a situation that you cannot resolve yourself you may reach out to us for additional troubleshooting advice. In other words, we provide support to you and you provide support to your voters!
I want to move forward with a fully managed election. What are the next steps?
Please reach out to our sales department with your online voting period start and end dates (tentative dates are fine) to let us know you would like to move forward. At this time, if you have not already done so, please also sign up for an account by clicking the “Get Started” button at the top of this page. A project manager will then be assigned to your vote based on availability. Your designated project manager will follow up with a management form for you to fill out at your earliest convenience so that an election timeline can be established.
What materials do I need to send you?
This will vary based on the requirements of your vote and your assigned project manager will provide you with a more detailed description tailored to your specific election, but in general:
- Your list of eligible voters in spreadsheet format typically including each voter’s name, email address, and unique identifier (if applicable).
- A list of all positions or items to be voted on, the corresponding selections a voter may make, as well as the voting rules (e.g. select up to 4, no abstain, etc.). If you are still unclear on what this entails, it may be useful to imagine what information we would need if we were crafting a paper ballot.
- Any other wording or content you wish to be included on the ballot (e.g. candidate photos and/or biographies, links to additional documentation for voters to review, etc.).
Once your project manager is assigned, they will provide you with a secure upload link for your election’s setup materials.
